Location: Healdsburg, CA
Schedule: Primarily weekdays, full-time preferred
Compensation: $30–$35/hour DOE
Work Setting: In-person, with possible limited remote flexibility after training

We are a Healdsburg-based events business looking for a highly organized, professional, and personable Venue & Production Manager to help keep our events, clients, vendors, bar operations, and internal systems running smoothly.
This is a great role for someone who enjoys being the calm, organized person in the middle of a busy business. The right candidate will be comfortable communicating with clients, following up on details, coordinating outsourced labor, keeping tasks moving, and helping ensure that events are well-supported from booking through completion.
About the Role
This position is primarily a weekday office role, with occasional flexibility needed around major events, client deadlines, bar staffing needs, or busy seasons. You will work closely with ownership, sales, event staff, outsourced bar labor, clients, and vendors to help manage administrative details, client communication, scheduling, billing support, bar-related coordination, and event follow-up.
Key Responsibilities
  • Serve as a professional point of contact for clients, vendors, outsourced labor providers, and internal team members
  • Help manage client communication, booking details, timelines, and follow-up tasks
  • Track required documents such as insurance certificates, vendor information, contracts, and event details
  • Support billing, deposits, invoices, payment tracking, and basic QuickBooks-related tasks
  • Maintain organized records in company systems, including Monday.com, spreadsheets, email, and shared files
  • Assist with scheduling, task management, reminders, and internal coordination
  • Help coordinate bar operations for events, including staffing needs, outsourced labor communication, event details, timing, and follow-up
  • Work with outsourced bar labor providers to confirm staffing, arrival times, roles, expectations, and event requirements
  • Help track bar-related event details, such as service times, guest counts, beverage plans, staffing notes, and post-event feedback
  • Coordinate with vendors, planners, clients, and staff to keep details accurate and current
  • Help prepare event-related documents, client notes, checklists, and reports
  • Support general office operations, supplies, filing, phone/email communication, and administrative projects
  • Help improve office systems and procedures as the business continues to grow
Ideal Candidate
We are looking for someone who is:
  • Highly organized and detail-oriented
  • Professional, friendly, and confident communicating with clients, vendors, and outsourced labor teams
  • Comfortable following up repeatedly and keeping others on track
  • Able to manage multiple priorities without losing details
  • Experienced with basic office administration
  • Comfortable coordinating schedules, staffing details, and event logistics
  • Comfortable with email, calendars, spreadsheets, shared drives, and task-management systems
  • Familiar with QuickBooks or willing and able to learn basic billing/accounting support tasks
  • Calm under pressure and able to work in a hospitality/events environment
  • Dependable, discreet, and trustworthy
  • Able to take ownership of tasks and follow them through to completion
Helpful Experience
Experience in any of the following is helpful, though not all are required:
  • Office management
  • Event venues, catering, hospitality, wineries, restaurants, or bar service coordination
  • Working with outsourced labor, staffing agencies, bartenders, servers, or event crews
  • QuickBooks, invoicing, deposits, or bookkeeping support
  • Monday.com, CRM systems, Google Workspace, Microsoft Office, or similar tools
  • Vendor coordination, client onboarding, or contract/document tracking
Schedule
This is primarily a weekday position, generally Monday through Friday during normal business hours. Some occasional flexibility may be needed during peak event periods, bar staffing coordination, or event deadlines, but this is not intended to be a regular night/weekend event staff position.
Compensation
Compensation is expected to be $30–$35/hour depending on experience, skill level, and fit for the role.
